Why the event I booked on MeetingRoom is declined by Outlook calendar?

When booking events through MeetingRoom, you may notice that some bookings are automatically declined by the Outlook calendar. This usually occurs due to room mailbox settings and booking policies.

 

[Possible Cause]

1. Time conflicts: The room is already booked for another meeting at the same time, and overlapping bookings are not allowed.

2. Booking restrictions: The meeting exceeds the maximum allowed duration or falls outside the permitted booking window.

3.  Permission/Policy Settings: Only authorized users (delegates) are allowed to book the room; bookings from other users may be automatically declined.

4.  Other reasons: The room may be unavailable due to maintenance, out-of-office periods, or other special restrictions.

 

[Suggested Steps]

1. Check the room settings in Outlook or via Windows PowerShell (see Microsoft Exchange section for more details).

    Get-CalendarProcessing -Identity "<resource mailbox>" | fl

2. Ensure that your meeting time does not overlap with any existing bookings.

3. If you are not an authorized user, request approval from the room delegate or administrator.

 

For recurring issues, ensure you contact the administrator to adjust the room booking policies if needed.
